We respect your privacy and promise to use any information we hold about you in a safe and responsible way. By shopping with us, you are agreeing to our Privacy Policy, in particular, our use of your information, as outlined below.

We are the ‘controller’ of personal data we have collected about you as set out below. This includes personal data we use process orders.

Information We Collect & How We Collect It

The information we gather on our site falls into two categories:

  1. personal data you supply when you place an order (including Plant Mail Club subscriptions), subscribe to our newsletter or become a member of the blog & discussion forum.
  2. tracking information and meta-data collected as you navigate through root-houseplants.com (‘Website’).

​When you make a purchase, subscribe to our marketing messages or become a registered user, we collect personal data about you such as your name, mailing address, e-mail address, telephone number, user name and password. We may ask you for personal data when you place an order for products, subscribe to our mailing list or become a member of Plant Mail Club subscription (See Plant Mail Club terms & conditions). We use this information to process your order, respond to your request or to help improve our site.

When this type of personal data is collected, you will know because you will have to fill out a form of some sort or otherwise provide the personal data to us, for example in email or messages about your order.

When you use our site, we will collect tracking information such as your browser type, the type of operating system you use, the domain name of your Internet service provider, and pages visited on the site. None of this information identifies you personally; we collect it for aggregate reporting on site activity. Our analytics platform is Google Analytics.

This website also uses the Facebook Pixel. The Facebook Pixel is a small piece of Java script code that we have incorporated in each of our web pages. This piece of code provides a series of functions for transmitting application-specific events and user-defined data to Facebook. We use the Facebook pixel to record information about the way visitors use our website. The information recorded includes information about the user’s browser session, which it sends to Facebook, along with a hashed version of the Facebook ID and the URL viewed. We can then address website visitors through Facebook ads for commercial purposes, however, no individual or personal information will ever be disclosed to us by Facebook. We do so by using Custom Audiences, which are provided to us by Facebook once the customer target group has reached a critical mass. Please note that we are not able to identify the identity of individual customers. The user information will be deleted after 180 days, until the user visits our website again. How We Use Your Personal Data

We only use your data to;

  1. Fulfil orders you've made through our online shop. This includes passing data onto Our Providers for delivery purposes.
  2. Send you our email newsletter if you have explicitly subscribed.
  3. Fulfil our Plant Mail Club subscription service.
  4. Improve our website. We do this by looking at anonymous data collected by Google Analytics.
  5. Advertise to website visitors through Facebook by using Custom Audiences. If you do not wish to receive this form of advertisement please change your Facebook privacy here.

We will only ever use your data in the way you expect and which is compliant with this Privacy Policy as well as the law and relevant regulations. In practice that means we won't sell it onto anyone or sign you up for marketing without explicit consent.

Our Providers

Shopify - Shopify host parts of our website on their servers (some are outside the European Economic Area), they provide the e-commerce platform we use to receive and fulfil online orders as well as the software we use to handle newsletter subscriptions. Shopify store and process your personal data securely.

Google - We use Google Analytics to record anonymous website traffic data so we can improve our website & marketing. This data is accessed by other authorised providers who aren't employed by Root Houseplants. For example, our web designer.

Facebook - We use the Facebook Pixel to record anonymous website visitor data and retarget website visitors through advertising. If you do not wish to be receive this form of advertising, please change your Facebook settings.

DHL - We use DHL to ship orders to you. Because of this we will pass them some of your personal information. We will only ever pass on data that is necessary to complete the order, such as your name, phone number and delivery address.

Royal Mail - We use Royal Mail to ship orders to you. Because of this we will pass them some of your personal information. We will only ever pass on data that is necessary to complete the order, such as your name, phone number and delivery address.

There are some other providers we work with but they don't see any of your personal data.

How & Where We Store Your Personal Data

Where you provide us with data online it is stored securely through Shopify. Shopify is our e-commerce platform. We take the security of your personal data very seriously. In particular we, and them, ensure that appropriate security measures are in place to protect your personal data.

We maintain industry-wide best practices for storing and transmitting your personal data (Such as HTTPS). Unfortunately, the transmission of information via the internet is not completely secure and so we cannot guarantee the security of your data transmitted through the internet including through the Website; any transmission is at your own risk.

Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Due to us using Shopify, the data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA”). By submitting your personal data, you agree to this transfer, storing or processing. If that is the case, We will ensure that appropriate and required safeguards are in place prior to the transfer and take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.

Where you provide us with data in-store at our physical shop we will record this securely on our own systems and safely destroy any data we no longer need. Only authorised staff will have access.

Your Rights

You have the right to know if we process any personal data about you and, if we are, with certain limitations, to a copy of that personal data.  You also have the right to ask us to remove or correct any of that personal data that is inaccurate, to object to certain processing and to withdraw any consent you may have given us for any processing of your personal data.  You also have the right to ask us to restrict processing certain of your personal data, to erase your personal data, and to ‘port’ certain of your personal data to you or another provider, provided in each case that we have such data and certain conditions are met.

Our communications are designed to tell you about the benefits we can offer so that you have access to our best deals. We use the information we have about you to tailor the content and try to ensure that the offers are as relevant to you as possible. Under the Data Protection Legislation, this might qualify as profiling and you have the right to object to this.

You also have the right, at all times, to notify a complaint to any regulator such as the UK Information Commissioner, although we would welcome the opportunity to discuss and resolve any complaint with you first.

Retention

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
